Email syncing once in a while (not "as it arrives") - HD2 General

So I set up the email to sync email "as it arrives" in the settings. Which only seems to be in affect for the first few days. Now it sync "as it wants to".
Once in a while I'll get an email right a way. Most times I have to send/receive a bunch of times, soft reset, sync with Windows Live and hope that it finds a few more.
As well the inbox should always hold 50 emails. Now when I delete emails from my inbox on the phone it doesn't sync with the server and days later I log into hotmail on my PC and those emails I deleted are still there. So it's only removing them from my phone's inbox.
I tried clearing my Windows Live login and everything and re-doing it and setting it up from scratch again but it seems to fall back into this same routine after another day or so.
Anyone else experience this and find a way to resolve it?

Syncronising Outlook taking forever?

I've been trying to set up my microsoft exchange email on my device. I've input all the settings and when its at the end, it says "synchronising".
There's no progress bar and doesn't tell me what its doing. I told it to sync contacts and email (after 15min was still 'sync-ing')
Then I told it to sync just email (still took ages and didnt finish 'sync')
So I cancelled everything and maybe I'll set it up as a normal email rather than do it through Outlook as a proper 'exchange server' type setup.
It's a college email - so there's endless contacts and my inbox is around the 80mb mark. Does this affect the time it takes to sync?? And more importantly, does it download all the contacts and emails onto the phone??!!
Can someone please give me some insight into this sync-ing process and also answer some of my questions. Thanks so much!
oh and it also says server could not be reached or something when I connected my phone to activesync and 'microsoft exchange' was sync-ing

phone deletes emails by itself

not sure how this is happining or if its my mistake. but this has happenened to my more than once. the phone simply decides to deletes all emails prior to a spesific date without any confirmation. thank god that there it a copy of them in the deleted folder on exchange server
anybody else suffering from this?

This is normal, outlook is designed so it only keeps emails from a certain number of days into the past, according to the email settings.
Enter you email settings and tell it to keep the emails from the maximum allowable time, I can't remember how long but the increments were something like Today, last 3 days .... etc.
it deletes all mails that are no longer on the server, nothing to do about it, except as a workaround maybe moving important mails from inbox to antother folder

but i am under the impression that the number of days in the activesync options is only for the initial sync with your exchange acount
I have the same problem. Once in a while my Gmail Inbox is empty. Glad it is saved in 'All Mail' but the behaviour is very irritating
Are you connecting to your mailbox, i.e. gmail-server or just syncing with your Outlook?
When using POP3 to connect to the gmail-server, it will download all mail to your phone, and thus delete the messages on the server.
Try to connect via IMAP4 and go to the settings of your gmail-account on your phone. There you can change the number of days to something like all messages- just for your gmail-account.
The phone handles "imported" mail from outlook like a "real" email-account on the net. Thus, you can set the number of days independently for each account.

why cant widows mobile be like blackberry it keeps all the email(compressed text on the phone) even when you remove the email to the local pst file it still stays on the device
I doenst matter if it imap or pop3, you can setup pop3 to leave a copy of the mail on the server btw.
But as soon as the mail is no longer on the mailserver (for example after downloading without keeping a copy on the server with your desktop pc) windows mobile will delete the mail from its inbox to next time you check for new mails.

push gmail doesn't work properly

Very happy with my new HD2. However i have a problem with my push gmail, or maybe it is an exchange problem in general, don't know. When i set up an exchange account with google server, i should be able to recieve push email, sync my calender and contacts and so on. On my previous phone (samsung omnia2) it worked like a charm. Somebody sends my an email on my gmail adres, and within 30 secs i received the mail. Same with outlook calender, it synced immediately.
With my HD2 (rom version 1.43.404.1 NLD) my mails don't arrive instantly! sometimes it takes over two houres before i receive something. Same with calender and contacts. I tried a hard reset of my device. First thing afterwards was settingup google exchange, and it worked again. Then i added a second mail account, set this account to auto receive every two houres and the problem with the exchange account comes back! the strange thing is when i watch my active sync status on my phone, it says connected, and when i send a mail from my pc, a couple of seconds later i see activesync syncing, like its receiving the mail, but it doesn't show in my mailbox, no poppup, nothing... only few houres later, suddenly i get the mail...
my exchange account is set to 'receive on arrival of items' should be push, also, comm manager says push activated....
sounds familiar to anybody?
I think this was a problem on gmails end yesterday, bearing in mind that gmail push is in beta. I had the same on my i8910, where previously gmail push was working perfectly.

and do you have a second, normal email account? It's from the moment i created the second account i ran into trouble...
tried reverse order? email first then exchange?
maybe after a hard-reset
I haven't got a HD2 but on my TP if I go out of coverage area for a time and then come back in, my activesync doesn't always reconnect. Saying that I have noticed it a lot less since banging a 6.5 rom on there. I have to add I am not using google sync, I am using fast hosts. I am going to migrate to google sync after this month to save some pennies so I hope it works good by then.
I ONLY have google exchange sync, it synched my calendar and contacts in seconds, and the e-mail FOLDERs, but not a single message. i left it 8 hours... (i've checked the messages to only do 1 week, 3 days, whatever)
i've tried soft reseting, two hard resets, ONLY e-mail, no e-mail, toggling e-mail. it will not retrieve any messages. in the end im using IMAP but its very frustrating/!
anyone got any other suggestions?

oh and to add insult to injury my iphone 3GS is sitting here merrily binging away everytime i get en e-mail!
If you are doing a send/receive for a folder this will not work you have to select the folders to sync by putting a tickbox in each one and then let it do its stuff.
Before I did this on mine all I saw was folders and no content (apart from the inbox)

but i just want my inbox to sync? which it does not.. and there is no checkbox next to that one, its in bold, which i assume means that one has to sync by default?
for me it does work right now. My solution was to delete my windows PC active sync connection. before, i synced with windows to get my contacts and calender, and then afterwards i set up my exchange connection. But from the moment i deleted the Windows PC connection, and working only with exchange everything works pefectly! Even created a second pop email account, refreshing every two houres, my push connection still works fine....
Ok, i figured out my issue, and im surprise dit isnt documented anywher eon google,i found it on one of their forums and a member there discovered it, not a google Mod.
If you have subfolder under your inbox, it wont work.
i.e. if you have any "/" in your google mail labels (which is how GMAIL sets itself up if you use outlookwith IMAP on it),then it wont sync
i had sub folder sin outlook, so in gmail they becme labels such as:
Inbox/Ebay
Inbox/personal
and the "/" trips up the exchange sync. which seems very strange considering that the phone correctly recognises them as labels.

So it means that there is no way it will sync the emails under these labels?
I tried re-entering my details yesterday, after having it on hourly retrieval for a few days. Now sync appears to be working fine, from others reporting similar it looks like Google was doing some work on it for a few days that was breaking new sync setups.

Disappearing emails with Gmail(workaround)

I was having some setup issues with Gmail pop; I’ve found a workaround so thought I’d share it.
I like to check my email regularly with the HD2 throughout the day, but manage the majority of these through Outlook when I get home. So on my HD2 I set up a pop mail account to check my Gmail at regular intervals (5 mins), get the entire message but leave a copy of the message on the server so I can still access these with Outlook later.
Problem was whenever the HD2 downloaded an email despite the setup being configured to leave the message on the server these mails were marked “as read” by Gmail and archived, presumably because my Gmail account was set to “archive emails that have been accessed through pop”. This was clearly overriding the “leave a copy on the server” setting. So I’d get an email on my device, this was then automatically removed from the Gmail inbox and archived, 5 minutes later the HD2 would check again, see the inbox was empty and therefore delete the email from my device. Outlook never got a look in as when I got home all the emails had been archived so it was seeing no emails at all.
Hence the disappearing email problem.
Firstly I tried changing the Gmail setting to “keep Google mails copy in the inbox when it had been accessed by pop”, this worked to a degree but I found it slightly irritating having to go in and manually erase all the emails in my Gmail inbox once I had downloaded them.
I then tried enabling imap in Gmail and binning pop access altogether, i.e., accessing all my emails through imap both on the HD2 and on Outlook. Again this worked to a degree but I have Outlook set up a particular way and I found that imap didn’t really work for me in that regard.
Eventually I sussed getting it to work the way I want, I set up both pop and imap access in Gmail. I had the HD2 accessing mails through imap, and Outlook accessing through pop (with the setting for ” archiving emails once accessed through pop” enabled in Gmail). So the HD2 would accrue all the emails that I received throughout the day and keep these in the Gmail inbox so when I fired up Outlook at home these were still there to be downloaded. Of course once I had retrieved these emails through Outlook these were automatically archived by Gmail and only then were they removed from the HD2 then next time it checked the server, which was fine as they had been dealt with and were no longer required, perfect!
So that’s been my weekend really, hope it helps anyone that wants a similar setup.
POP is the wrong method for your interest.
POP catches the mails from your server and deletes em from it.
You only need to use IMAP method to leave a copy on the server.
Just that easy.
You could have saved a lot time if you only setup imap in your email settings in the phone.
All other stuff was completely too much. Sorry
Im using that method since i had the Touch HD and still use it with Gmail on the HD2 and my mails stay on the huuuuuuge google servers too.
Undoubtedly imap has its advantages, certainly on the phone its working well for me.
You did raise a point:

Should this happen when the you have set-up an account on the device thats configured to "do not delete messages from the server"? Because despite my account being set-up this way my emails were being deleted (or archived, either way, disappeared!) nevertheless. That's specifically why i wanted to detail why I did what I did as I'm sure this issue could catch other people out.
POP is designed to catch mails AND clean up your email account on the server.
This makes sense when you have limited storage space (i have an arcor account too and have only 25mb on there).
From my knowledge the client and server must support the "leave emails on server".
Look in desktop Outlook you have the opportunity to check a box with this option.
In our pda version of outlook we dont have that option.
This is mostly the reason that the emails get deleted when using POP.
IMAP is designed to give you the opportunity to have a look at your emails like on the server.
When you read an email on your pda the mail will be automatically flagged as read on the server too.
It is some kind of sync.
There are these two well known ways just to give you the opportunity and fulfil your needs. Just use the one that serves you well.
In your case this will be IMAP

When i was setting up the account on the HD2 I was ticking this option to leave message on server upon deletion (see screen shot), although it seems i was misunderstanding this function.
Yeah the function you checked was only for the deleted mails.
It just tells the server what to do with the mails that you deleted on your device.
Sounds good, I'd just replace imap access on the HD2 with activesync, even better.
I'm interested in what your "weird configuration in outlook that makes you not able to use imap" is though.

[Q] some emails dissapear from an exchange account

I have set up my DHD to sync with exchange 2003 email account (push email option). Everything syncs fine but sometimes when new emails arrive they dissapear from then phone. I loose older mails I received that day. It keeps receiving new emails but the ones that have disappeared do no come back.
The email are there on the exchange server and can read thme from my PC but cannot see them on the phone even if I sync manually.
When I delete the account and set it up again the emails reappear but this is very annoying. Has anyone experienced similar problems? ANy solutions?

It does not work. My seetings are for 30 days. The emails I am missing are of the same day. Only a few, the ones below and above are still there. One way of bringning thme back is to move them to another folder on the PC and then move thme baxck to inbox. When I do that and I sync again they appear.
