Email - leave message on the server? - 8525, TyTN, MDA Vario II, JasJam General

I have just received a Vario11 and setting up email I see there is no setting for this in the same way there is in Outlook desktop versions or Outlook Express.
Searching the forum and wiki, there are lots of posts about this, but they all seem to be inconclusive.
My only experience so far has been with a Dell PDA winmob5 and I'm sure it had this setting.
I am using pop3 email from an account the same as you would get from Freeserve and many others. I want to be able to ensure all mail received on the account gets to the desktop at some point, and only when travelling with the Vario will it be downloading email and replying/sending. Sent messages would be nice to get onto the desktop as well instead of having to copy the email to myself.
Testing it; I just tried downloading an email on the Vario and a copy seemed to stay on the server which I have been able to download to the desktop. So maybe it is default set to always leave on the server.
But what happens with active sync? I'm reluctant to test this without more understanding of what goes which way and what happens if messages are deleted on either device.
My desktop Outlook pst is approaching 1gb, so maybe I need to achive and tidy it up before I sync?
Is there a comprehensive post anywhere, or a good website that spells all this out?
Any other recommendations for use in my situation would be appreciated.

Hi, I use gmail, and there is a setting on the prefrences at the gmail site to keep messages on the server and most by default do, I don't use active sync to sync my mail, so I get mail on my tytn with gprs, and if I had a home pc connection, I could just run my mail client on the desktop to check my mail, and I would have all the same messages, not sure if that was what you were wanting to accomplish or not.

I found that downloading leaves email on the server. However, deleting mail on the HTc TyTN, also deletes the mail on the server at the next download.

Any way to Config OUTLOOK to send/ Receive?

Hey all.
At home I've my desktop outlook setup to my pop3 email.
Is there anyway to set this account so I can send/ receive to see if there is new mail - or (as I think is the case) do I have to setup a separate pop 3 account to be able to initialize send/receive.

I was asking the same question on other forums, but it seems that no1 considers this as a "normal" question; I have never got a reply...
When u sync your Universal with your PC, the emails are automatically downloaded into your Outlook E-mail account automatically.
To check your emails on the move, you'll need to set up a new POP3 account with the same settings as per your PC's Outlook....... and when u do a Send/Recieve, it's connected via your GPRS. E-mails downloaded into your Universal will still be downloaded onto your PC when u do a Send/Recieve on your PC's Outlook....That means the same email will appear in both the Outlook E-mail and POP3 accounts on your Universal
Wonder if I'm making any sense......

You do make sense, but… you have just explained to us what we’ve already knew. I would just like to have normal SEND/RECEIVE in pOutlook without having to setup the same thing on the side (my Yahoo pop3). And after that they could synchronize normally…

I struggled for quite some time to make email work 'properly' on using my MDA Pro.
First, note that I use Outlook on the desktop. My situation is complicated because I have multiple accounts that I want to sync.
What I found was:
1. Syncing desktop & pocket outlook mail is useless, unless one uses exchange. There is no way to send and receive mail short of syncing with the desktop. And given that activesync 4 cannot sync over the net, means that messages I want to send are stored until I manage to get close to my desktop. Totally stupid design. Someone must have been smoking illegal substances when s/he came up with it.
2. Switching both desktop and PPC to POP sort-of works, but there are severe problems. The first is that a pop account on the PPC is completely separate from the outlook-synced account, so messages appear twice on the PPC. The second is that if either the desktop or the PPC delete messages off server, then the other device gets confused. Copying a message to another folder on the PPC causes the message to be removed from the server, so that it never arrives in the desktop. Read message indications are not reliable. etc etc.
3. Switching to IMAP on both the desktop and the PPC works the best. One ends up with a set of IMAP folders on both the desktop and PPC, separate from the 'normal' outlook inbox (which are no longer used). Operations on either the desktop or PPC are reflected in the other device when mail is checked. Of course, it is absolutely imperative that both devices download messages, not just headers.
So, in the end I have a set of IMAP folders on both devices for each account. Both devices are set up to download messages + headers. The desktop downloads the entire message + attachments. The PPC downloads 15K of the message and no attachments. Deleting a message on one deletes on the other (when mail is checked). Reading a message on one caused the message to be marked 'read' on the other.
Messages sent from the PPC show up in desktop outlook's IMAP sent items folder. The reverse is not true, because desktop outlook puts sent messages into a generic 'sent items' folder, not the IMAP one. This is not a problem for me.
I have turned off activesync for all mail folders, because sync is done using IMAP. I still use activesync for contacts etc.
FWIW, IMAP in desktop outlook has a few problems. The worst is that sometimes it decides to duplicate a message. IMAP is also a bit more sensitive to network glitches, "disconnecting" from the server and requiring outlook to be restarted to reconnect. In addition, as messages are left on the server more-or-less permanently, one might run into quota problems.
mailbox copy
I stumbled on this mailbox problem here again.
I got exactly this issue, as my provider gives me Pop3 (can't get imap to work), and I cant reply on mails when i'm out (outlook mailbox has no send-receive)
Now I figured out, that in case if I COULD do an mail-box copy on my device from outlook-inbox to anonther account inbox, and before syncing do and send-items-box copy back to outlook send-items-box, this would solve a BIG part of my problem.
Has anyone EVER heard of an app that can let you copy whole mailboxes between accounts on your PPC device?
I also posted this question befor but to be sure are you all saying in a round about way.........
i ave a pop email account on my laptop, this i sync with a cable to my Exec, And on my Exec i also have a pop3 account the same account as on my laptop....
so if i am out ( and my laptop is not on) i use the pop3 account on my Exec for sending and recieving mail no problem, BUT if whilst out i see from my Sync,ed email from the laptop befor i left in the morning a email i need to repley i cant, i wish i could read the email then tell it to reply / send via the proper pop account on my Exec not the sync account

I prolly dont understand the problem fully, because I think it has a simple answer. On your PPC dont sync the mail from outlook through activesync but set up a new (p-outlook) pop3 account with the parameters from the pop3 outlook account (minus the smtp-server offcourse, this should be the smtp of your phone operator). I have this setup and can send/recieve mail on my MDA Pro. When I get home I recieve all mail from that day on my pc, storing it on my pc. At the next send/recieve on my MDA Pro, all the mail collected by the pc will dissapear (on the MDA Pro) and new mail will arrive. If you want you can sync the outlook mail with your PPC but it will function as a old-mail-database next to your p-outlook pop3 account.
what I did was:
1. I Created a new mail account - POP3 - and configured it to be read just in O2 exec.
2. I configured my mail account to forward all mail to the mail account I created for the PDA, and also keep messages in my mail account, so I can read them in my PC as well.
3. I dont SYNC mails, just check them by using WIFI/GPRS/3G.
This is not very "polite" but works for me. anohter solution, IMAP, another, REAL MAIL from Vodafone.

Found this incredible realtime PUSH email solution for WM2003 and WM2005 devices. Works like vgsmail (IMAP IDLE Client being developed) but MUCH more stable, reliable, and faster (it's been around a while and they have big company partners)! It consists of a small syncing program that supports true push and links with the built in Messaging app, you just need to keep it minimized but running on your Pocket PC in the background (doesn't seem to slow down the device). Upon installation, the software also creates an account in the Messaging application where your mail is kept.

I tried it on our WM5 WiFi device and it was rock solid! I signed up for a free 30 trial of office2go and downloaded the PUSH Email client. I just forward my ISP's POP3 mail to this account and within a few seconds, it shows up on my PPC in the Messaging app. It runs reliably, no crashes or lock ups yet. Outgoing mail is sent immediately, no need to hit SEND/RECEIVE anymore! Also deletes from server immediately and keeps sent mail in sync. The sync application has great downloading and scheduling options as well.
They deliver TRUE PUSH mail today, and for what you get, the easy setup, and reliability, I think it could be worth it.

handles full body, header, or user defined size. Handles attachments - no problem. Doesn't choke on large emails. Very reliable, I would give it a try. Free for 30 days. Works great!

Does look very good - but how much traffic is it using
I created an account but when I want to download the sync app it's asking me to pay. I thought it was 30 days free trial. When I registered for an account I chose the one with the included license.
I'm confused. Do I have to pay for the sync app or not?
Don't forget that the same service is offered by 4smartphone, hosted exchange so genuine WM5 push email plus it apparently has a WM2003 push component too (haven't tried that one out though). Decent free trial and some advanced options in there too if you opt for one of the premium packages
Ok so I thought I would give it a whirl. Signed up for the trial. The web service is nice. However, I downloaded the Sync software onto my computer and installed it. Tried to sync my contacts and it kept giving me login errors. I confirmed that I was entering in the correct username and passoword but still no go.
Also, why does it not sync mail? Does the program they offer not work as a mail redirector?

Where did you download the Sync app from? When I tried it asked me to pay €39. Isn't the app part of the free trial?
After you are logged in to your account, click on options and then downloads. The program I tried is the Space2go SyncWare. But like I said, it was never able to connect to their server and it doesn't give the option to sync mail.
Guys, trust me it works and it works well. Mail is pushed and everything else syncs wirelessly on a schedule. See this link on treocentral:

The above link has further set up instructions, manuals for the client and a download link for the Client2go. SyncWare links Outlook to their servers and SyncML is to sync wirelessly to other servers besides office2go. I don't have to pay for anything for 30 days.
4smartphone.net is an exchange hosting service and will only support push or DirectPush as MS calls it when the MSFP ROM update is released for WM5. Until then, this is the only game in town and it works well. Their mail servers also support IMAP and POP3 client access for your desktop.
Their web site is not great but their software works VERY well.

Ok, so I did have the right files. I tried teh desktop software, and I get login errors when It tries to sync. I tried the pocket pc software and I got an access denied error.
Followed what they said at treocentral...Not sure if this is going to work.

I tried that and still doesn't work. Also after reading the postings at treo central, it seems that it doesn't redirect your e-mail. You need to attach either an IMAP or POP3 e-mail to the office2go account.
I need a way to redirect my corporate exchange e-mail so this isn't a solution for me.

its not a redirector, its a server that pushes mail. You need Intellisync or something like that.

OK, I have it working on my K-Jam. I have a question though. I have four different pop3 acounts I want to push to my k-jam. Do I have to set all of them to forward to my one single space2go account or can I keep them seperate? I don't really want all the e-mails mixed up.
Also, when replaying to an e-mail I want to 'from' to be my original account not the space2go account. I can't see where I can set this.

Sync mail accounts and Outlook account?

I've not seen this one answered before, so hopefully someone knows now...
You can set up POP3 mail accounts on your phone, so you can download e-mail on the go. You can also sync the mail on your computer's Outlook onto your phone. But can you do both?
Is it possible to read the mail from your POP3 on your computer, via Outlook, sync it to your phone, then when you're away from your computer, download and read your new mail on your phone, then when you get back to your computer, have that e-mail that you downloaded sync'ed back to Outlook on your computer?
Very interesting question. As far as I'm aware it can only go one way. You can sync (download) to your phone, but I don't believe it's possible to sync in reverse (have mail sync from your phone to your pc). But just out of curiosity, why would you want to? As long as your "Leave copy on server" option is checked in outlook, your mail will always be on your email account's server until you delete it, so that should negate you having to sync mail back to your pc. Unless when you are downloading mail directly to your phone while you are away from home there is no copy left on the email server, which is definitely a possibility. If that is happening, I would contact the cellular service provider to see if there is a way to view basically a copy on your phone while leaving a copy intact on your email server.

Been thinking about the same question recently. And i can see the reason for wanting to reverse sync.
Say i have e-mail sync'd between pc & wizard. I go out and check my mail and download 5 new messages (leaving on the server). Now i go home and my pc gets the new 5 messages. when i sync will i end up with a double copy of my e-mail on my Wizard?
i cant currently test as my PC is in pieces so i've been using my wizard for e-mail, but its not under "outlook mail" but a new account conencting directly to the pop server, can i have 1 account that will sync to outlook or pop?

you can sync outlook and a pop3 account if seperate
for instance, i sync my inbox with my outlook which works fine
i also have a new "account" in my messages area which downloads my pop mail via gprs or wifi (whichever is in access).
when you download mail from pop, it still stays on server which is good... then when you get home, you can download these on the machine
as far as i know, you cannot sync the mails back to outlook because of the way it treats the mails but i might be wrong as ive not tried it... if i remember, i will trty when i get home.
also there is limits and attachment restrictions etc so not sure how they would work.
What the poster means (At least what I like to know), is if it's possible to sync Outlook mail. Then, on the go, you want to check if there's mail. Here you have to create an account. Is it possible to have the Outlook-account of the pda have the mail checked? So only the new messages, which haven't been outlook-synced are downloaded...
Because, now, on the go, when I do a Dial-in or on a Wifi hotspot, my 'Outlook' can't download new mail. And another account (the dial-in one) starts downloading messages of 3 days (I know you can set this, but that's only half a solution...)

Hi I've been tracking this topic on many sites, and have seen no answer.
If you only have POP3 (imap and exchance are ok), you are screwed.
I have on the PPC the oulook boxes, and a seperate account (setup like the account on my PC-outlook), that works fine on Pop3 via wifi or gprs.
What any pop3 user likes to do, is sync your PPC, get out and reply, send and receive mails. This is how it works:
- read your mails, do a reply! (which is not possible, as the oulook on you PPC cant send receive)
- so you like to copy that mail to the seperate account (Which is not possible too, you cant move mails between boxes)
- so you copy the content to a new mail in the seperate account, (and add all the cc's that where in the list, ohw!) and do there a send/receive, done...
- really?... how to get your send-mail back to your outlook send items box???, so you set yourselves in bcc for all send mails (or get a program for that)
Its a pain and a waste of time (anyone who knows a better solution, tell me and dont tell me the Imap or exchance story)
I think the solution can be 2-ways:
- or a patch that makes the send/receive available for the outlook account on your PPC
- or a mailbox-copy / move function, that eases the copying between the accounts.
Anyone has these solutions?

Works exaclty as it should. If you have it already configured for contacts and calendar, just go in active sync options and check emails. Then delete your IMAP account settings on the device.

My setup sounds like what you are trying to do. I sync my Outlook Contacts, Outlook Calendar, Outlook Notes, and files with ActiveSync by USB. I added an Exchange server to ActiveSync (on the phone) for my gmail. I ONLY checked email for the gmail account - NOT contacts, calendar, tasks, or anything else. Everything works perfectly. I still sync my calendar, contacts, notes & files with my desktop PC, and I get push email from gmail.
The gmail exchange server configured in ActiveSync did not mess with other (desktop Outlook based) sync settings.
Works great with me too, just a small annoyance... I dont want the emails I receive on the ppc and havent even seen yet, be marked as read on the server...
I checked the settings and theres no mention to that option...
Anyone knows the refresh rate for push email this way. I mean will you be noticed instantly upon receiving an email or will it sync with the server lets say every 15min or so???

Sadly no. This is a limitation of winmo: you can setup just one exchange server...
ok now that I switched to gmail push instead of imap I get the "Sent from my HTC Touch Pro2 etc..." I didnt have that with imap. Is there a way to change the footer?

try setting max msg size to 100 (or 200kb) and just click on receive attachments (without specifying size)..

What are people setting the "Send/Receive Schedule" to? I checked the box for e-mail on the exchange list but it's not pulling e-mail. My guess is that the time schedule is overriding it????

Well im just getting email every 15 minutes. So it is not actually getting pushed to me. Interesting enough my ipod touch is getting email pushed. (BTW im using WIFI for both HTC FUZE and ipod touch)
Do I need to disable forward IMAP in gmail? Im thinking not cause my ipod touch is getting pushed email.
I am unable to receive any HTML emails on my mobile via activesync (for gmail). My wm6.1 activesync settings for email are set to Download All emails from the past, Message format HTML and Download size limit 5 KB. The HTML emails are appearing in my winmo outlook inbox as 0KB in size (so I only receive the subject line). Anyone else experiencing this issue?
Ok guys, I have Miri v12 rom on my Touch HD and I tried to setup my gmail account on Activesync on the Vista Mobile Device Center and also directly on my Touch HD, with the help of this step-by-step guide http://bit.ly/5l5Rw , but in the end when I try to sync, it asks for my Exchange Server credentials, user pass and domain, but no go...
No matter if I put in username: [email protected] or simply in the username field I put the username and then in the domain field I put googlemail.com, It always end up asking me again for the credentials...
Can anyone help me? Am I doing something wrong? I've tried this on my actual rom and on another one, but no luck.

Disappearing emails with Gmail(workaround)

I was having some setup issues with Gmail pop; I’ve found a workaround so thought I’d share it.
I like to check my email regularly with the HD2 throughout the day, but manage the majority of these through Outlook when I get home. So on my HD2 I set up a pop mail account to check my Gmail at regular intervals (5 mins), get the entire message but leave a copy of the message on the server so I can still access these with Outlook later.
Problem was whenever the HD2 downloaded an email despite the setup being configured to leave the message on the server these mails were marked “as read” by Gmail and archived, presumably because my Gmail account was set to “archive emails that have been accessed through pop”. This was clearly overriding the “leave a copy on the server” setting. So I’d get an email on my device, this was then automatically removed from the Gmail inbox and archived, 5 minutes later the HD2 would check again, see the inbox was empty and therefore delete the email from my device. Outlook never got a look in as when I got home all the emails had been archived so it was seeing no emails at all.
Hence the disappearing email problem.
Firstly I tried changing the Gmail setting to “keep Google mails copy in the inbox when it had been accessed by pop”, this worked to a degree but I found it slightly irritating having to go in and manually erase all the emails in my Gmail inbox once I had downloaded them.
I then tried enabling imap in Gmail and binning pop access altogether, i.e., accessing all my emails through imap both on the HD2 and on Outlook. Again this worked to a degree but I have Outlook set up a particular way and I found that imap didn’t really work for me in that regard.
Eventually I sussed getting it to work the way I want, I set up both pop and imap access in Gmail. I had the HD2 accessing mails through imap, and Outlook accessing through pop (with the setting for ” archiving emails once accessed through pop” enabled in Gmail). So the HD2 would accrue all the emails that I received throughout the day and keep these in the Gmail inbox so when I fired up Outlook at home these were still there to be downloaded. Of course once I had retrieved these emails through Outlook these were automatically archived by Gmail and only then were they removed from the HD2 then next time it checked the server, which was fine as they had been dealt with and were no longer required, perfect!
So that’s been my weekend really, hope it helps anyone that wants a similar setup.
POP is the wrong method for your interest.
POP catches the mails from your server and deletes em from it.
You only need to use IMAP method to leave a copy on the server.
Just that easy.
You could have saved a lot time if you only setup imap in your email settings in the phone.
All other stuff was completely too much. Sorry
Im using that method since i had the Touch HD and still use it with Gmail on the HD2 and my mails stay on the huuuuuuge google servers too.
Undoubtedly imap has its advantages, certainly on the phone its working well for me.

Should this happen when the you have set-up an account on the device thats configured to "do not delete messages from the server"? Because despite my account being set-up this way my emails were being deleted (or archived, either way, disappeared!) nevertheless. That's specifically why i wanted to detail why I did what I did as I'm sure this issue could catch other people out.

This makes sense when you have limited storage space (i have an arcor account too and have only 25mb on there).
From my knowledge the client and server must support the "leave emails on server".
Look in desktop Outlook you have the opportunity to check a box with this option.
In our pda version of outlook we dont have that option.
This is mostly the reason that the emails get deleted when using POP.
IMAP is designed to give you the opportunity to have a look at your emails like on the server.
When you read an email on your pda the mail will be automatically flagged as read on the server too.
It is some kind of sync.
There are these two well known ways just to give you the opportunity and fulfil your needs. Just use the one that serves you well.
In your case this will be IMAP

When i was setting up the account on the HD2 I was ticking this option to leave message on server upon deletion (see screen shot), although it seems i was misunderstanding this function.
Yeah the function you checked was only for the deleted mails.
It just tells the server what to do with the mails that you deleted on your device.
Sounds good, I'd just replace imap access on the HD2 with activesync, even better.
I'm interested in what your "weird configuration in outlook that makes you not able to use imap" is though.
