Outlook & 2 Phones - Touch HD General

I'd like to syncronise my artemis and HD touch with the contacts & calender data in Outlook. Is this possible using 2 phones? My concern is that things will get missed between syncs because I'm swapping devices frequently i.e update phone with a new contact, sync with PC, outlook should update, plug other phone in, new phone should update? Not sure if it's that simple.

i am synchronizing my Outlook with an Athena, HTC HD and Diamond on my laptop and my desktop both with Vista. No problem at all.

Yes you can do this, just make sure you conflict rules are set so outlook wins rather than your mobile.

I sync with a Symbian phone and the Touch HD. No problem provided you do what RetroFlux has said i.e. in conflict rules Outlook is set to win.

Ok thanks - question though...
This is hard to explain but are there are any options within the contact info on the HD that would be useful to keep over the outlook contact info? (i.e. are there any fields in the HD contact data that aren't present in outlook?).
Also if the conflict is set to outlook always wins, does that mean I wouldn't be able to have high res photo's for the contacts? As I've read you can only have low res photo's in outlook.

Outlook Conflicts
There should be no issue because the conflict will only arise if for example you amend details of a contact on your 1st phone then sync, then further amend details of the same contact with your HTC Touch HD. In that scenario the information picture from the 1st phone sync would overwrite the information on the Touch HD.
I would have thought that the best way to handle the issue you may face is to sync the phone you use with Outlook as soon as you have finished using it and then immediately sync the phone you are about to next use, this will ensure that you always have the most "up to date" information on the phone you are using and minimize loss of data on sync due to conflicts e.g. by changing an appointment on 2 phones before syncing.
Alternatively if you are carrying both phones with you at the same time then you may just want to use only one phone to make all your PIM changes and ensure that this always gets synced first and that this then updates the second phone.
(I hope that this email makes sense).

Great indepth reply thanks.
I will maybe use the Artemis as a back up phone to the HD so wouldn't be updating it that often.
I guess I could also potentially create 2 profiles in Outlook, as tinkering with the idea of using the Artemis for work purposes which would allow me to sync personal and work contacts separately on 2 devices. Not sure if that would work though.

alternative to outlook and activesync.

i'm pretty fed up of outlook and how it screws with my contacts *i recently updated, and it removed all the titles from the names which is VERY annoying.* not to mention when i add contacts to my phone, it does NOT add them to outlook (maybe i'm just stupid but when i tried to set it to phone, it DELETED all my contacts sans a few) are there any alternative programs that are a bit easier and funner to use?

in one word: no.
Outlook is the easiest way AND the most perfected.
There are a few other possibilities to avoid outlook but in my opinion a pda without outlook is useless.
If you encountered problem it might be
-correct active sync version ?
corresponding to that : correct outlook version ?
-correct settings in active sync ?
If you fail to syncronize with ac....dont even try other solutions.
i'm using activesync 4.5 and the outlook version 2002, i copy contacts and settings from outlook just fine, with the exception of it screwing with the titles and names a bit, it's the other way around that's giving me a headache.
what do you recommend the optimal settings be so that if something is new on my computer, it transfers to my phone, and if something is new on my phone, it transfers to teh computer
(also anyway to stop it from seperating the names and removing titles?)

So i only have a german verison of ac i don't know the english name for the settings.
But you have to tell ac to sync in both ways and give the mobile thing the priority.
Then your problem should be solved.
did that, and once more it deleted all the contacts on my phone except for like 3-4 .... either this install is screwy or something is going wrong, or i'm just an idiot.

i used to, and i ended up with half a dozen duplicate contact and calendar entries for each one!!! i tried settings, etc, finally said to hell with it and set the phone to not sync with outlook. i feel your pain.

I had similar frustration. I eventually set up my 8125 to its own email address, and turned off the sync-ing of contacts. I have two separate contact lists now, but I'm not losing contacts from my phone all the time, either.
I do not have problems with duplicated events, but I publish my Outlook calendar to the phone, not the other way around.
I never schedule from my 8125. I always tell people to send it to my email, so I can control it from my PC. I only use the handheld on meeting-heavy days, and then I'm only checking email, and not accepting meetings.
Using: WM5, ActiveSync 4.5, Outlook 2003 on Desktop
Well, there is an alternative. I run linux so AS isn't even an option for me. I have been using FinchSync since I got the phone and it has worked great. I can even sync anywhere I have a network connection without being at home.
FinchSync uses an http connection to sync contacts with Mozilla's Thunderbird email and address client as well as your datebook with Mozilla's Sunbird calendar. So far it has worked great. One hint though, take the time to read the install and configuration instructions on their website!

I absolutely hate Activesync. I update my phone contacts and appointments via my Tilt, and then hook it up to my computer only to find that Activesync is deleting them on my phone and restoring the older files on my two PC's. I think, "oh, well I must have the sync settings set improperly," so I check them on my PC and my Tilt... it turns out that it only goes one way: from the PC to the mobile device. (Please correct me if I'm missing something.) You can just disable the sync settings, but then what's the point of having the program installed?
Personally, I have few complaints about Outlook.
I haven't tried it yet, but I'm going to be giving PDASync a try. They seem to advertise all of the features I'm looking for, although it does carry a hefty price tag of $50.

I'm still not 100% sold on PDASync. It seems to lack the ability to sync internet browser favorites/bookmarks and custom file folders. The quest continues.

i must use lapsync because i don't want all 1500 outlook contacts into my phone, so i filter them by category and only sync a certain category.
i dont sync bookmarks, but i know you can use AS to sync ONLY bookmarks. to sync custom files and folders, try mobsync - its free.
I Tried Laplink today, This needs ActiveSync to function properlyu (did not see my device attached). I am lucky I had trial software instead of paying $ 50

Exchange on the Hero, first impressions

I've noticed that not has much been said on the Hero's exchange support in any of the reviews or user reports so I thought I'd let people know what it's like as, for me, this is a must have feature. I should say that I have not had an android phone before and so I have had no experience with Nitrodesk's exchange solution so I can't compare.
Well, I entered my exchange details during initial set-up and after my first attempt was unsuccessful (SSL needed and is off by default) it than worked. Asked me if I wanted to sync Mail, Calender and Contacts all of which I selected. After the rest of the setup had finished the phone told me I had a new e-mail arrive so I could tell it was working straight away.
Mail is fantastic. Downloads everything fine, has at least as many options as WM for choosing which messages to download. E-mails look great on the display and html e-mails show up fine.
Contacts are great, they all appear straight away in the people and the phone application. All the Facebook and Flikr integration works perfectly. Only niggle is that you can't group contacts by company which is something I used to do on WM.
Calender seems to work fine. Appointments showed up ok, including appointments sent by e-mail.
All in all, the exchange sync is way better than expected and in some ways better than WM. The integration seems very deep and integral to the OS rather than a bolt on feature.

All was fine for me, but as soon as I've allowed it to connect my contacts to FB contacts, sync fails for conacts with a 'client/server conversion error' message.
I'm using exchange 2003, mail and calendar are syncing fine, and I too would love tasks to be added, along with a fix for contacts and I'm a happy hero user

I just use exchange so can't comment on outlook sync. Facebook linking worked fine for me but I also have exchange 2007 so can only assume it's a problem there. Not sure if the exchange functionality is all implemented by HTC or whether they've used part of Nitrodesk's Touchdown but I saw on the Nitrodesk website that they don't support exchange 2003 yet.

The only app is HTC sync which is included along with the hero's manual on the sd card supplied with your phonbe, word of warning i just installed htc sync on my vista pc and it caused windows explorer to continuously crash until i uninstalled it, not impressed
Tried to install the app ealier, drivers failed and the app wont work (win 7 32 bit)
Going to try the long way round for now - sync outlook contacts to my google account and keep the google contacts synced to my phone - would I end up with a duplicate of everyone then though?

I, like you (not I like you!), have synced up this way. I too cannot get HTC sync to work. I am sure Orange have bundled the wrong version.
So, I export Outlook to a file, then import contact file to google cal, then sync gcalendar to hero. Job done.
No duplicates, google calendar seems intelligent enough to recognise the dups

Can you flag email messages? This is a must for me and I hate that WM 6.5 can't even do it!

I'm having probs with exchange.
It will only sync my main inbox, not any of the subfolders I have, and will only sync via mobile network - fails on wifi ? ?
Then again can't get ANY web stuff on wifi ? ?
Word and excel fully creatable and editable with Docs to Go, and Open Office I think does let you read different docs though not sure which. Best PDF Reader seems to be RepliGo Reader which is good for books as well.
I'm only just getting to grips with Google Calendar but seems to have a great deal of flexibility for appts and stuff.
Widgets really just getting going, so I'm not sure of all those available...

I have reiceved my G2 touch and havn't been able to setup exchange sync over the air. It goes past first option i.e. to show me what i want to synch mail, contacts, calendar and than when I click on finish setup it fails with message unable to create account try later! Any idea what is going wrong. How can I fix it?

Anyone have any experience with exchange sync where the server requires you to set a password/pincode for the phone?
Heard some people saying that this was not supported by the Hero. A pity if true, as I need this to work in order to be able to use the Hero as a work phone (in other words, if I am to buy a Hero).
The out of the box exchange support is really very good. It just needs the ability to authenticate via password or client certificate.
I much prefer it to WM, but only because its completely finger friendly.
Yes you can flag emails, and they show up under the flagged emails tab at the bottom.
I really really hope the update within 10 days or September will affect this thing? Need to be able to sync more than one folder at the time.

works for me on vista 64 with orange branded HTC Touch. I believe there is an update on the HTC website, not sure if that enables win7 support
I certainly didn't notice explorer crashing after I installed it, chances are it's another explorer extension interfering (either a media codec that is failing at showing thumbnails, or a right-click extension or similar)

A serious replacement to Active Sync alias Windows Mobile Device Cente

I am really fed up with ActiveSync / Windows Mobile Device Center!
I just can't stand it anymore.
Are there serious and good replacement for it? For WM 6.5.5 and Win7 x64?
Since 2007 I am experiencing these 3 major issues, with any subsequent versions of ActiveSync (which is now called Windows Mobile Device Center, on my Win7 Ultimate x64 system)
1st issue:
After a restore on one of my 3 WM devices (two HD2 and one HD1 blackstone), I had to full resync each time: sometimes it takes 30 min, sometimes 5-6 hours: I ALWAYS AND ONLY include contacts, task and calendar, with default sync settings (no emails)
2nd issue
Apparently, without warning, any 3-5 days a message appears saying:
A change to the server requires full re-sync.
I do and sometimes all is fine, sometimes ALL MY CONTACT ARE REPLICATED on both my PC and my devices...as for today I got 6,000 contacts! (they should be around 1,500)...And I am forced to go through my contacts and remove manually all the duplicates.
3rd issue: sync is completed BUT CHANGES are NOT reflected on DEVICES!
Suppose I change contact/notes on one of my 3 devices and then sync. My laptop might or may not take in the change. But invariably I get the message Device connected, Sync completed!
Viceversa: I change the email field of a contact on my laptop: the changes are reflected on device 1 but NOT on device 2 and yes on device 3! Very random behavior...
Yesterday I have edited the notes (it is a field) of a contacts on my 2nd device. On PC and on my 1st device the changes were synced. On the last device NOT....sync was completed all 3 times, WITHOUT ERRORS but changes are not there!
This is irritating.
Please help and suggest a substitute to ActiveSync alias WMDC for WM 6.5.5
Is there any tool, even if it an expensive one, to replace it?
I'm not talking about IntelliSync, PocketMirror, etc which are
not replacing, just extending its functionalities...
I don't want any more trace of activesync on my laptop, I wish to have
a professional product installed.

I read on interenet about SyncML and another solution called DevilsPGD.
Any feedback about it? Is there a off-line version? I dislile the idea of having my data on a web server.

Through the years it has always baffled me how so many people have had issues with AS and MDC. I can honestly say that I have had, maybe 5 ot 6 errors with it, and all were solved with a simple reboot of both devices. After that it would go for like a year or two without an issue.
I have been using WM devices since the dell axim was introduced (changing both computers and PDA/Smartphones as time progressed) and have always read of people having massive issues with it. I also consider myself a pretty heavy user of AS/MDC: PIM syncing, Office doc syncing, Note syncing, music and photo syncing (yes with windows media player), Pocket Quicken syncing, Mysportstraining and mypersonaldiet syncing, ewallet syncing, Quickbook syncing, Mylifeorganized syncing, Checklist syncing, and a customized program I had built that syncs my loan files with an industry software I use called Point.
With all of this crap being transferred to and from my various computers and my PDA/Smartphones I would have thought, based on reading other peoples' issues, I would have experienced more problems. But as I said, it has pretty much always been a painless experience. Even the issues I had were minor (one record wouldnt sync, or one conduit would not sync, but everything else did) and as I said, rebooting both devices fixed it everytime.
What is everyone else doing differently?

I also use pocket PCs since 1998. 12 years. and always been with Active Sync.
But now I cannot accept that a sync is completed, no errors and in fact the new updated phone or cell phone is not there, on my device!
Also I edit some NOTES (notes field, within a contact) and these changes are not reflected on my PC.
I get no error messages! I have checked that the right couple (WindowPC - Device) are selected... a new contact is corrected sync, a old one, if edit, I have 70% chance is correctly synced and 30% chances it remain unchanged, either on PC or on Device...
Sure enough, if I make a hard reset, these issues are solved, the sync is perfect...But I do no want to make an hard reset every month.

I have used PDAs heavily in my business. Before wm phones I had to carry two devices. I have also used a blackberry which has an excellent interface with any computer, it is faster and more accurate, It is realy a shame that MS stuff always seems so counter-intuitive. In my opinion the best solution is to not use activesync at all. You can do that if you have an exchange account, then you can sync all PIM over wireless, with 3G it is effortless. One caveat is that you cannot sync notes unless you activsync with outlook configured to exchange.
By the way "TrineFix" is a utility I downloaded somewhere here, when installed on your phone it will remove duplicates from your contacts, it works extremely well, and you don't have to edit duplicates by hand.

How about microsoft my phone its syncs everything apart from email. There is one thing it can be slow sometimes to download, but uploading is fine. I was reading that they are working on fixing the download speed.
I use MyPhone. It's good, it has also a duplicate item eraser, but it does not sync with PC, as far as I know.

Looks like they have "cloud" sync options as well. Interesting.

I too have had problems with WMDC and Activesync. I have found a solution that works for me so I don't get the error messages:
1. Delete ALL items you want to sync from your mobile.
2. Delete ALL partnerships from your mobile.
3. Sync with XP PC (which in my case has all of the correct appointments and contacts which is all I want to sync).
4. Delete ALL partnerships from your Vista PC.
5. Delete ALL items you want to sync from Vista PC.
5. Sync mobile with Vista PC - make sure the device name the Vista PC suggests is the same as the XP PC.
Then hopefully you can sync either PC without any activesync errors. I have over 2000 appointments and over 400 contacts, so there is quite a bit of info. Each sync in 3 and 5 takes about 30 minutes. Each second sync only takes 30 seconds.

Yes, working fine (using it via my provider, which offers a special version of syncml).
I've owned Asus MyPal A639, HTC Touch HD and now - Leo. Never had any of these problems that you mention except that ActiveSync really drives me mad for one particular thing - its virus-like auto-start behavior on both desktop and PPC. Its like sync , sync, sync... a-a-and.... sync, sync, sync. Even disabled it rewrites its entries in the registry every time you start it. Its a pest! On the other side it does what it does - sync(!) and you can use many 3-rd party programs on top of it. I use Jeyo Mobile Companion and MobilEdit! but they rely on ActiveSync. Unfortunately there's no real alternative to ActiveSync and its derivatives (WMDC).

Please help and suggest a substitute to ActiveSync alias WMDC for WM 6.5.5
Is there any tool, even if it an expensive one, to replace it?
I'm not talking about IntelliSync, PocketMirror, etc which are
not replacing, just extending its functionalities...
I don't want any more trace of activesync on my laptop, I wish to have
a professional product installed.

.And I am forced to go through my contacts and remove manually all the duplicates.
Why? There is software out there for your phone that will delete duplicate contacts from your device. Then all you need to do is resync back with outlook.

[Q] Syncing to Outlook

Hi all,
Just recently my HD2 has locked up twice. The only way out I could find was to perform a HR on both occasions. Unfortunately the first time this happened I lost all my contacts as I hadn't backed them up to the sim card (this is now remedied). However I was able to get my contacts back via the My Phone app so there was no big drama.
On each occasion, and more importantly, I also lost all my Calendar entries which weren't backed up as I've never used Outlook before, I get by just fine with Hotmail. However, I really can't keep losing all my calendar entries as its so much hassle having to re-enter all my work stuff, appointments etc. So I'm now seriously considering purchasing a copy of Outlook 2010, which ain't cheap!
What I need to know is if i have to HR again following syncing my appointments with outlook, if need be can I reverse sync my appointments out of outlook back to my phone? I'm not that clued up about this syncing process which I'm sure you've noticed.
Just out of curiosity, is anyone aware of any other software which will sync my appointments other than Outlook? As its a costly bit of kit just to sync my stuff as I don't think I'll use all the bells & whistles ie e-mail etc.

Just use the Microsoft My Phone app it will backup your calender for you. Just open Microsoft My Phone then touch on Menu at the bottom of the screen and then touch Options. Then just place a check beside tbe things you want to backup.

Also look at SPB for backing up data to SD card which will not be lost when Hard Reset is needed.
If you are getting many lock ups you would be advised to install a better ROM such as Energy 23699 build which is very pratical & runs far smoother than buggy network operator ROMs.
For higher/better prevention of losing your essential data, you can use MS MyPhone and Outlook, like I do.
But for restorĂ­ng data: first synch with Outlook, then with MyPhone, otherwise you will have have double entries of contacts and appointments.

Since Kies doesn't work with some of the latest ICS custom ROMs, can anybody recommend a good utility to syncronise contacts between Outlook & the Note, or as an alternative Outlook & GMail

Take a look at Gsyncit. It costs, but it works. Sync is from Outlook to/from the Google cloud and then between the Google cloud and your phone(s). That should make it independent of the ROM on your phone.
My girlfriend has a copy running between Outlook 2010 and Froyo on her Motorola Defy. I have a copy running between Outlook 2003 and my GB Note, and ZTE Blade on Eclair and GB before that.
It means that sync can occur in the background and you don't have to take any positive action to force a sync between laptop/PC and your phone. So long as they are each on the net at some point the sync will just go ahead automatically.
I might add that for the first year of use there did seem to be some instability, with Outlook sometimes being crashed by the plugin on startup, but never any data loss as a result. For the last several months - certainly all of 2012 so far - it has been faultless for both of us.

I have a similar question, my father uses a HTC Touch Pro, and has around 1000 contacts on it.
I have finally convinced him to upgrade to the Galaxy Note, but now I need to solve the sync problem of all his contacts.
The biggest problem that I think I will have will be that outlook always shows the Last name first and only than the first name. Would the Gsyncit program identify correctly the names or would I need to edit each contact to change the first name and last name?
I am looking right now for a way to transfer the contacts from Windows Mobile 6.1 to the Android 2.3.6.
Can SMS and Call logs be transferred also or those ones would get lost?

To my knowledge and experience Gsyncit will sync contacts, calendar events, notes and tasks. Maybe there is new stuff in Outlook 2010 which I don't know about, but for me it does not sync call logs or SMS messages because, apart from anything else, Outlook 2003 does not hold such information.
As for contact field mapping, in Outlook you have individual fields for surname, forename and other parts of the name if required. The "File As" display is assembled within Outlook from those individual fields if they exist. If you only input data to Outlook in the File As field then I'm not exactly sure how that gets handled, but it should sync across one way or another.
Since Gsyncit is only responsible for sync between Outlook and the Google Cloud it should not matter which Android phone you have because it is down to Google/Android to take care of the sync between the cloud and your own device. That part of the sync has nothing to do with Gsyncit.
If you have a Windows 6.1 device (I used to have a WM5 phone before moving to Android) then it should be simple to sync contacts into Outlook using MS tools. Once in Outlook you could use Gsyncit to sync the Outlook contacts up to the cloud and then let Google sync from the cloud to the Android phone.
However, if it is a one off exercise only, with no sync back and forth required in the future then I believe you can export the contacts from Outlook to a CSV file and then import the CSV file to Google on the web from where they will propogate to the Android phone. For such a one off exercise there is no need to purchase Gsyncit at all.
When I bought Gsyncit for myself there was a free trial available for something like five days and 20 contacts/events. So you can always give it a spin for free and see if it does what you need, assuming the trial is still part of the offering. My purchase was 20 months ago.

Kies should work. You might need to switch the mode your Note is connecting to the computer.
I used this app when I was having issues and Kies works perfectly again.
